2017 Meeting RFP

Dear Fellow DFWBTA Member,

We would like to invite you to participate in our bid to host one of our 2017 monthly luncheon meetings held the third Tuesday of each month. 2016 has been an amazing year with record attendance at every monthly meeting and we are hoping for even better results in 2017!  Please select your first and second choices for hosting one of next year’s meetings.

In 2017, DFWBTA would also like to arrange 4 meetings prior to our monthly meetings for the DFW Travel Managers. These meetings will take place from 8:30am – 10:30am in January, April, June and October. A small meeting room typically holding 20- 30 Travel Managers is requested. No AV is needed, refreshments would be appreciated.

This is a fantastic opportunity to showcase your hotel property to our group of buyers and suppliers. The attendees include corporate travel managers and buyers from area-based companies, other hoteliers, car rental and airline representatives, travel agencies, travel technology companies as well as other companies/representatives in the travel industry.

Because our association is non-profit, we are asking for your support. The requirements to host a monthly luncheon is that your hotel provides meeting space for typically 80-120 people and offer a maximum reduced luncheon rate of $30 per person inclusive. Any additional amenities you are willing to provide at a reduced or complimentary rate such as audio/visual, parking, sleeping room(s) for speakers, etc. are every much appreciated. Please be sure to indicate any such amenities on the attached form.

No meeting will take place in May due to the Annual Charity Golf Tournament.

No meeting will take place in July due to the GBTA conference.

Travel Manager Meetings are currently scheduled for January, April, June & October

*Note Meeting rooms do need to be adequate for speakers with AV and allow for all to see and hear

10:30 am - 11:00 am – registration and networking (pre function area with need for 3 tables to be set up)

        11:00 am - 12:00 pm – guest speaker/program

        12:00 pm – 1:00 pm – lunch and announcements
